Senior Program Director

Overview

As a leading nonprofit organization serving immigrants from Ireland, and from 120 different countries, the Irish International Immigrant Center (IIIC) is looking to expand its reach, and is seeking a newly created position of Senior Program Director. The Senior Program Director will help the organization strengthen and expand its innovative blend of social service and social justice programs that support IIIC’s commitment to local and global work. 

Reporting to the Executive Director, the Senior Program Director will be charged with leading IIIC’s Learning Exchange and Integration program staff into its next phase of growth. Drawing on its strategic plan, the IIIC is poised for expansion of its programs and social services.  This position represents a dynamic challenge for a strong, innovative and skilled program leader who has the vision to create and the management skills to implement expanded program development and evaluation.  The ideal candidate will present a significant track record of working on learning exchange programs, successfully leading a staff team, and helping secure new funding from individual and institutional donors.

About the Senior Program Director

The Senior Program Director will oversee the program management and growth of:

1.  The Learning Exchange Program including the J-1 Irish Work and Travel visa program, J-1 Summer support services and future learning exchange initiatives between Ireland and Boston.

2.  Integration Services including:

a)    Supervise the ESOL, Citizenship education, and Career Advancement courses in conjunction with the Education Coordinator.

b)    Supervise the Home Health Aide training, CPR workshops, and other career advancement services in conjunction with the Irish Outreach worker.

c)    Supervise the Inclusion and advocacy work in conjunction with the Inclusion Coordinator.

3.  Serve on the Center’s leadership team in support of a vibrant and welcoming immigrant support center and international learning exchange programs.

The Senior Program Director will be actively engaged in analyzing the shifting needs of Massachusetts’ Irish and other immigrants; tracking and ensuring that program impact and success is showcased, evaluating and refocusing existing programs; and establishing new or revitalized programs that reflect current needs and priorities either independently or in collaboration with strategic partners both locally and in Ireland.  At the same time he/she will help guide the IIIC’s advocacy and cross-cultural work so that its public policy and coalition-building activities are aligned with organizational goals and priorities. 

The Senior Program Director will be responsible for ensuring that meaningful information-sharing and coordination takes place among the different programs, promoting diverse opportunities for cross-program collaboration and understanding.  To that end, establishing and ensuring the faithful carrying out of annual work-plans for each program will be essential.

The Senior Program Director will serve on the Center’s leadership team and will play an active role in organizational planning, budgeting and information-sharing.

Specific Job Responsibilities:

Learning Exchange Program:

Provide oversight and leadership in the day to day operations of the international learning exchange program including:

  • J-1 Irish Work and Travel Program
  • Supervise a team of four staff to ensure that each year we support over 200 Irish University students through the J1-IWT visa application process, and intern placement service.  This includes ensuring: 
    • Communication with students is always conducted in a friendly, helpful and professional manner.
    • Student enquiries and interviews are carried out in a timely manner.
    • Supportive and ongoing relationship with students throughout the program
    • All database (SEVIS, Salesforce) and hardcopy student records and training plans are accurately maintained and promptly updated throughout the application process in accordance with the Department of State regulations.
    • Students are assisted in their preparation for Embassy interviews.
    • Students are assisted in finding appropriate internships.
    • On-call, emergency telephone line is staffed.
    • All reports are submitted in a timely fashion (DOS, and internal)
    • Liaise with DOS representatives
    • Provide support and coaching to the Manager of Intern Placements
  • J-1 Summer Student Support Service
  • With the assistance of interns and volunteers ensure that visiting J-1 Irish summer students are supported by:
    • Maintaining a welcoming resource room that has useful housing, employment and welcome resources.
    • Organizing orientations when students arrive
    • Assisting them prepare resumes, letters and fill out application forms
    • Provide a safe place for people to congregate and meet with others, especially in cases of unexpected difficulties or emergencies
    • Offering assistance or appropriate referral resources when issues arise
    • Update Irish Consulate on concerns or difficulties and prepare a report in October to document numbers served and outcomes.
    • Collaborate with J-1 visa sponsors and the Coalition of Irish Immigration Services to improve support for students.
  • learning exchange program development
    • Work with Executive Director and Associate Director of Learning Exchange Programs to develop innovative learning exchange visits between Ireland, Boston and US for Irish youth and community leaders.
    • Oversee the program delivery of future contracts

Integration Services:

  • Work closely with the development team to prepare compelling grant proposals and to meet with current and potential donors.
  • Prepare reports as required
  • Perform other tasks as required by the Executive Director

  • Bachelor’s degree preferred

Program Associate

Description:

The Irish International Immigrant Center seeks a highly motivated and organized administrator who can support Irish university students and recent graduates who come to the United States for 12-month internships in their field of study.  This is a great opportunity for anyone interested in international studies and learning exchange programs. Our programs focus on learning, exchange of ideas and experiences, and leadership development. 

Job Responsibilities:

J-1 Irish Work & Travel Program (J-1 IWT)

  • Assist with the day to day operations of the J-1 Irish Work and Travel Program, providing support to other programs in the Learning Exchange Programs Department as needed
  • Duties will include making and receiving telephone calls, interview scheduling, carrying out interviews, filing and data entry
  • Responsible for follow up with program participants as needed via phone or email and ensuring that all emails and calls are acknowledged and appropriately processed in a timely manner
  • Responsible for database maintenance, which records all correspondence with program participants – this includes IIIC’s database (Salesforce) and the SEVIS database (the State Department’s record of exchange visitors)
  • Ensure that SEVIS data is recorded timely and accurately and in accordance with the State Department’s requirements and regulations. Ensure that individual files are kept up to date at all times
  • Receive and review program applications and open participant files and update as the application process progresses
  • Manage client and potential client communication in a friendly, warm, helpful and professional manner
  • Prepare J-1 visa application documentation
  • Liaise with participants upon arrival in U.S. to ensure compliant with the program rules and regulations
  • Liaise with program participants, both past and present, and write short articles and testimonials highlighting the program successes and coordinate submissions for local publications

J-1 summer program

  • Oversee the day to day operations of the program
  • Arrange for cybercafé volunteer staffing in conjunction with the volunteer coordinator
  • Ensure cybercafé volunteers are fully trained in assisting students in locating jobs and housing, providing necessary resources, issuing of membership cards, maintenance of computers and printer and assuring a clean and tidy appearance of the cybercafé at all times

Other:

  • Act as the Salesforce liaison for Learning Exchange Programs and note changes needed as they occur and report to the appropriate staff member in conjunction with the program director
  • Assist with projects and administrative detail from other programs and staff in the Learning Exchange Programs and provide support as required
  • Prepare meeting notes as required
  • Prepare statistics and assist with monthly reports and year end reports
  • Ensure clients who visit, email or call the department are welcomed with warmth and friendliness
  • Other tasks as required by the Program Director

About the J-1 Irish Work and Travel Internship Program:

This program creates opportunities for Irish students and recent graduates to intern for one year in the U.S. in their fields of study. This program strengthens the US – Irish relationship and enables graduates to gain invaluable professional experience, so they can become Ireland’s future entrepreneurs, directly contributing to the recovery of the Irish economy. Since 2008, the center has assisted 692 participants in securing the visas and locating internships. For every 170 people we assist each year, we advise nearly 500 more who contact us for information and guidance.
